Leisure Privacy Notice

How we manage your personal data.

Ards and North Down Borough Council is the data controller for the purposes of the Data Protection Act 2018 and the UK GDPR, which means it determines what your personal data is used for and why it is collected. This privacy notice states how we collect and process data.

What data do we collect?

We collect: 
Name
Date of birth
Postal address
Email address
Minimum one Contact number (Mobile, Home, Work)
Bank details (if applicable)
Medical details (if applicable)
Organisation or club name (Block and Large Event Bookings)
Secondary contact name and number (Block and Large Event Bookings)
Documentation such as Utility Bills, birth certificates for the purpose of providing proof of eligibility for membership.

We ask for the following optional data (memberships only):
Gender
Emergency contact details (up to 2)
Employer
Occupation
Ethnic origin

How is the data used?

We use this information for the management of centre membership, course enrolment, exercise class bookings, party and session bookings, adhoc, block or large event bookings of Leisure Ards and North Down site activities and facilities.

What is the legal basis for processing your personal data?

The lawful basis for processing personal data in relation to membership, enrolment and bookings is: 

  1. Consent: the individual has given clear consent for you to process their personal data for a specific purpose.
  2. Contract: the processing is necessary for a contract you have with the individual, or because they have asked you to take specific steps before entering into a contract.

Who is the data shared with?

Depending on the purpose for which your personal data was originally obtained, and the use to which it is to be put, it may be shared with other organisations. Personal data may be shared, where necessary, with other organisations that provide services on our behalf, such as the online Booking System.

In such cases, the personal data provided to that party is only the minimum necessary to enable them to provide services to you.

In most cases the Council will not disclose your personal data without your consent, however there may be statutory or regulatory circumstances when your consent is not required.

How long do we keep your data? 

Your data is kept for two years from the cancellation date of your membership or the date of your last booking.

What are your rights? 

Your personal data is yours. You have the right to get copies of the information we hold about you.

It is also your right to complain about our use of your data to the Information Commissioners Office, who are our regulator, but please contact us first to try and resolve any problems.
